Proposals

Overview

Proposals let you quote clients before committing to an invoice. Financely can generate proposals automatically when a new lead arrives, or you can build them manually. Accepted proposals convert directly into invoices.

Creating a proposal manually

Go to Proposals → Create Proposal

Click Create Proposal.

Fill in the details

  • Title — e.g. “Website Redesign Proposal”
  • Description — summary of the work or offer
  • Items — add line items with quantity, unit price, and tax rate
  • Terms & conditions — your standard terms
  • Notes — any additional information for the client

Link to a lead (optional)

Attach the proposal to an existing lead to keep your pipeline organized.

Save as draft

Click Save. The proposal is saved with status Draft.

AI-generated proposals

From a lead’s detail page, click Generate Proposal. Financely sends the lead’s information and your product catalog to the AI, which returns a structured proposal draft with:
  • A suggested title
  • Relevant items matched to your products
  • Pricing based on your catalog
  • Draft terms and notes
You can review and edit every field before sending.
AI proposal generation works best when your product catalog is up to date. The more product details you provide (descriptions, prices, categories), the more accurate the suggestions will be.

Auto-proposal on lead creation

You can enable auto-proposal generation in your organization settings. When turned on, every new lead that arrives (from a widget submission or manual entry) automatically triggers an AI-generated proposal draft — no manual step required. To enable: Settings → Organization → AI Settings → Auto-generate proposals

Proposal statuses

Sending a proposal

Open the proposal and click Send. The proposal is emailed to the associated contact or the email address you specify. Status updates to Sent.

Converting a proposal to an invoice

When a proposal is accepted:
  1. Open the proposal
  2. Click Convert to Invoice
  3. Choose the invoice template
  4. Financely’s AI maps the proposal data to the invoice template’s bindings — items, buyer info, seller info, totals
  5. Review the generated invoice draft and save
The proposal and invoice remain linked so you can trace the full history.

Troubleshooting

Make sure your product catalog has accurate names, descriptions, and prices. Generic product names produce generic suggestions. Adding categories and tags improves the AI’s ability to match products to the lead’s needs.
Check that Auto-generate proposals is enabled in Settings → Organization → AI Settings. Also verify that your AI configuration (API key, model settings) is correctly set up.
This button only appears on proposals with status Accepted. Change the proposal status to Accepted first.
